The job of a front desk, done on the phone

Callers rarely want a conversation for its own sake. They want a time, a price, an address or a person. Voxiora is built around those outcomes: it answers from the knowledge it drafted from your website, checks who is free in Google Calendar, and books, moves or cancels the appointment while the caller is still on the line.

Anything that should not be decided by software, such as a complaint, a delicate request or a valued client, goes to a person. Voxiora transfers the call with a one-line note, or takes a detailed message when nobody can pick up. Either way you receive a written summary of what happened.

Where an AI receptionist fits next to your team

People at your desk are good at what software is not: welcoming visitors, reading a room, making exceptions. What they cannot do is answer three calls at once at 8:05 on a Monday or stay by the phone at night. An AI receptionist takes exactly that share of the work.

Most businesses start by sending it the calls nobody catches: overflow, lunch breaks, evenings and weekends. Once the summaries look right, some forward every call and let the team step in only when Voxiora hands over.

You decide what it knows

Everything it says comes from your own material: the website it read during setup and the facts and rules you add in plain words. It does not improvise prices or promises. When a caller asks something new, the question lands in your tasks inbox; on the Pro plan and above Voxiora also drafts an answer, which goes live only after you approve it.

What your AI receptionist takes off your plate

  • Every ring answered

Early mornings, late evenings, bank holidays and the moments your hands are full.

  • Real bookings, not call-backs

Checks live availability in Google Calendar and confirms by SMS, which is part of every plan.

  • A clean hand-over

Puts callers through to you or a colleague with a short note, within the hours you set.

  • Messages read back

Repeats names, numbers and orders to the caller before saving them, so details arrive intact.

  • A summary after each call

Who called, what they needed and what was done, by email or in Slack and your CRM via Zapier, Make or n8n.

  • Your hand on the wheel

From the Business plan, listen to any live call, whisper guidance or take it over with one tap.

Getting started

Four steps to your first answered call

  1. Step 1

    Give it your website

Voxiora reads your pages and drafts a greeting with the AI disclosure, plus a knowledge base about your business.

  2. Step 2

    Set the house rules

Choose what it may book, who receives transfers and what callers hear outside opening hours.

  3. Step 3

    Have a test conversation

Speak to it in the browser using the 30 trial minutes and fix any answer in plain words.

  4. Step 4

    Point your calls to it

Keep your existing number and forward calls always, when busy or when you don't answer.

How it works

AI receptionist or an extra hire on the desk?

A side-by-side look at the two ways to cover the phone. Many teams combine them: the AI takes volume and off-hours, people take the visitors.

Questions about AI receptionists

How does an AI receptionist actually work?

It answers your business line with a natural voice, works out what the caller wants and acts on it: it answers from your own information, books or changes an appointment, takes a message or transfers the call. Voxiora does this at any hour and keeps a written record of every conversation.

Do callers hear that it is an AI?

Yes. The first sentence of every call says so, as the EU AI Act requires, and the disclosure cannot be turned off. Callers who prefer a person can be put through according to your rules.

What does it cost?

Plans start at €49 a month on yearly billing, excluding VAT, with minutes and a phone number included. There is no setup fee, monthly plans stop at the end of the billing period, and the 14-day trial comes with 30 free minutes.

Will it replace the people at my front desk?

It replaces the phone part of their day, not their judgement. Routine questions, bookings, overflow and after-hours calls go to Voxiora; visitors, exceptions and sensitive conversations stay with your team, who receive transfers and summaries.

Which calendar does it book into?

Google Calendar, natively. It reads real availability for each person and service, so it only offers times that genuinely fit, then confirms the booking to the caller by SMS.
